Purpose of the job

The Logistics Supervisor reports to the Secondary Manufacturing Manager and has the primary responsibility to actively supervise and coordinate the various shift activities of Site logistics Operations on site so as to achieve the plans for loading and off-loading (bulk) and filling (break bulk) (Packed) and filling (Packed &drums and Cylinders) of quality approved product and conforming and always adhering to SHERQ as well as cost control requirements. Responsible for all activities at weighbridge, cl2 packaging and Bulk loading sections.

The responsibilities above mentioned shall be conducted in compliance with the Occupational Health and Safety Act No.85 of 1993.

Key Performance Area

  1. Plan, lead and control Logistics resources on shift.
    • To ensure that reports on subordinate’s work attendance are recorded
    • To ensure competency by ensuring adherence to training schedule on                                                                                                                                         a monthly basis.
    • To ensure that deviations are reported with corrective and preventative steps.
    • To ensure equipment operates safely and optimally, by doing inspections on a shift basis, with downtime and the causes reported to the Maintenance function within 10 minutes of downtime.
    • Initiates job cards and liaise with Logistics Analyst to plan the maintenance activities during the shift.
    • To ensure that Subordinates are scheduled per shift to ensure optimum production and reduction of overtime on a sift basis.
    • To ensure that Subordinates are coached and developed to meet set goals on a shift basis.
    • To ensure that Subordinates are performing optimally by conducting performance appraisals as per the NCP’s performance management policy and procedure
    • Conducting the weekly self-audits and perform regular job observation on the Subordinates
    • Re-working of products that do not conform to specifications regularly
    • Coordinating and controlling the maintenance, filling and dispatch of Chlorine Road Tankers on daily basis
    • Communicate with customer services and weighbridge operators during the shift and ensure the planning and scheduling of loads as per the limited stock as well as per quality
    • Coordinating and controlling the maintenance, filling and dispatch of Chlorine drums and cylinder on daily basis.
  2. Coordinating of all Logistics Activities on shift.
    • To ensure availability of suitable packaging units according to the packaging list.
    • To ensure the order fulfilment by maintaining the accurate stock count of Bulk and Packed products as well as empty containers and packaging materials.
    • To ensure availability of good quality product according to NCP’s standards by liaising with the laboratory and checking quality records.
    • To ensure dispatch of products as per the Daily Program for bulk and packed products on afternoon and night shifts as well as after office hours on weekends and public holidays.
    • To ensure that all information regarding packed and dispatched products is recorded on the Moodi and posted to SAP system per shift.
    • Coordinating and controlling the maintenance, filling, and dispatch of Chlorine Road Tankers on a shift basis
    • Addresses the delays encountered at loading areas
    • Trains new subordinates as well as new colleagues on the required job scope during the shift.
    • Manages the final products per shift. (Filling of Drums, flobins, polycans, Cl2 drums and cylinders)
    • Monitor and review the operation of plant equipment and systems constantly, to minimize unplanned downtime, anticipate solve problems in a timely manner, and to identify opportunities for improvement.
  3. Ensure compliance to SC SHEQ objectives and targets.
    • To ensure compliance to OSHAS 18001 and other relevant Health and Safety legislations- implementation and monitoring thereof on a shift basis
    • To ensure compliance to SANS ISO:9001 and other relevant quality legislation implementation and monitoring thereof on a shift basis
    • To ensure compliance to ISO 14001 and other relevant Environmental legislations- implementation and monitoring thereof on a shift basis
    • To ensure that Root cause investigations (RCI’s) are conducted according to Specified standards and reported to the RCI committee on morning shifts
    • To ensure that the number of incidents (off-spec, PCC, FCC, etc) are reported to the Northern Plants & Site Logistics Manager on a shift basis.
    • To ensure that safety audits are conducted, and findings are reported and rectified on a weekly basis.
    • Responsible for the approval of all the final products on site on a shift basis
    • Responsible for the approval of all break bulk products during the shift (SAP)
    • Responsible for updating and correcting stock as well as quality data on SAP data capturing system on a shift basis
    • Addressing CAPAs audit findings related to Environment, Safety and Quality on regularly.
  4. Establishing and Maintaining interpersonal Relationships.
    • To ensure that all information regarding each shift is compiled and reported to the Northern Plants & Site Logistics Manager during each shift
    • To ensure that all information regarding the shift is provided to next shift workers at the beginning of the shift
    • To ensure that information is provided to other stakeholders on a daily basis.
    • To ensure that disciplinary grievance matters managed according to the NCP Disciplinary code.
  5. Ensure cost control on shift.
    • To ensure that people related cost targets (for the shift) for overtime, call outs and staff refreshments are achieved.
    • To reduce the turnaround times of vehicles that load bulk and packed products as reported against standard times.
    • To prevent and reduce the Loss of Primary Containment incidents of final product in all Supply chain areas.
  6. People management.
    • Ensure that work is completed timeously and accurately

    • Do Succession planning for subordinates

Purpose of the job

The Instrumentation Maintenance Supervisor reports to the Engineering Manager: E&I and has the primary responsibilities of:

  • Legal appointments: (a) as the OHS Section 8.2(i) for instrumentation works on site to ensure all legal and statutory compliance does take place according to the OHS Act, Pressure Equipment Regulations and General Machinery Regulations.

(b)in terms of General Machinery Regulation 2(7)(a) as an assistant to the Competent Person in respect of machinery used in your area of responsibility in terms of your duties.

  • Fully understand the Occupational Health and Safety Act requirements and ensure that all legal inspections and risk assessments are carried out and that general safety is adhered to across all plants.
  • Manage and plan the instrumentation execution of work as per the maintenance strategies available on the CMMS software (SAP system).

o    Plan the execution of work in line with the engineering standards, strategies and asset integrity philosophies for equipment, plant, machinery, and instrumentation installations.

o    Plan the execution of work in compliance to statutory requirements using OEM, RCM, 5Why and RCA processes to improve plant reliability and availability.

o    Plan and manage the execution of annual maintenance shutdowns.

  • Organise the instrumentation personnel (Technicians, Mechanicians and Workshop Mechanicians) and material required to execute work in compliance to statutory requirements using OEM, RCM, 5Why and RCA processes to improve plant reliability and availability.
  • Lead the instrumentation personnel (Technicians, Artisans and Workshop Controller) in ensuring compliance with the execution of the maintenance strategies, as well as legal and engineering best practice standards, in compliance to statutory requirements using OEM, RCM, 5Why and RCA processes to improve plant reliability and availability.
  • Control the instrumentation infrastructure, systems, and instrumentation resources in ensuring the instrumentation infrastructure (i.e., Level, Pressure, Flow, Analytical instrumentation, etc.) is continuously available for operational purposes.

  • Ensure the adequate resource (internal and external) is available for the execute of the work. The resource here mentioned include personnel and material resources. Organize resource to execute work in compliance to statutory requirements using OEM, RCM, 5Why and RCA processes to improve plant reliability and availability.
  • Continually review the risk assessments for internal employees and contractor before work commences and enforce rules to protect the safety and health of personnel, and the protection of the assets against damage.
  • Maintain the functionality and availability of the safety system. Maintain the operational availability of the instrumentation installation and related instrumentation control system. Contribute to the achievement of more than 85% plant availability and annual average production of 65kA.

3. Lead

  • Be the OHS Section 8.2 legal appointee and custodian for the instrumentation installations throughout the NCP Chlorchem site.
  • Perform Plan Job Task Observations and coach, instruct, enforce and/or correct any behavior that poses danger against safety and health of personnel (including suppliers and contractors).
  • Participate in 5S continuously, implement standards and enforce 5S standards
  • Enforce good practices concerning housekeeping. Ensure zero Lost Time Injury is attained in the Instrumentation department.
  • Perform on-the-job training for the technician, Mechanician and/or Workshop Mechanician. Perform weekly audits/walkabouts to identify areas that need improvements to remedy as accordingly.

4. Control

  • Compile reports on compliance concerning daily work execution by Technicians and Artisans.
  • Compile diagnostic report on the root causes of breakdowns and determine the short to medium term plans to prevent repeat failures and/or plans for collaborative resolution with other departments. Enforce turnaround time of four hours to restore plant after a breakdown.
  • Maintain compliance to company policies, standards, and instructions for the Instrumentation Workshop personnel including the execution of the actions determined from the audits.
  • Ensure the asset care execution of work is conducted within the agreed budget.
  • Ensure Risk Assessments are performed per task perform by Technicians, Mechanicians and Workshop Mechanicians.
  • Collaborate with reliability engineers and other departments to maintain control over spare management.

Material Handler (Logistics)

Purpose of the job

The Material Handler reports to the Logistics Supervisor and is responsible for Filling of tankers, drums and flow bins with different products as per customer’s request in correct quantities and correct quality adhering to the laid down procedures.

The abovementioned activities shall be conducted in compliance with the Occupational Health and Safety Act, No. 85 of 1993 and all relevant NCP policies and procedures.

    • Facilitate the Health and Safety Legal compliance audits for all NCP sites by ensuring the agreed dates are booked in the relevant persons’ calendars, the scope of the audits is shared, the relevant personnel are prepared and informed of the upcoming audit, the findings are developed into a Corrective Action Plan (CAP).
    • Monitor the open findings arising from the Health and Safety legal compliance audits to ensure compliance, by verifying and ensure closure thereof on EDMS
  3. Enterprise Risk Management (ERM) & Operational Risk Management (ORM).
    • Update ERM & ORM business risk management policies, procedures, and framework for NCP, whilst ensuring that the ORM is integrated into the Enterprise Risk Management (ERM) Framework and there are no contradictions or differences in terminology and definitions
    • Update and maintain the ERM & ORM presentations used to create, promote, and maintain a culture of risk understanding, awareness, responsibility, and accountability throughout NCP’s sites.

Follow up on overdue items and escalate where necessary to relevant management.
    • Consolidate the ERM departmental risk registers to enable the risk reporting process in determining, classifying, and rating NCP’s top 10 business risks, which will be used in EXCO and Board presentations.
    • Trend the risks according to categories identified within the risk registers to enable grouping or risks for a better consolidated view of tops risk themes.
    • Facilitate the insurance survey by ensuring the agreed dates are booked in the relevant persons’ calendars, the scope of the audits is shared, the relevant personnel are prepared and informed of the upcoming survey, all survey required documents are prepared and submitted to the insurer and the recommendations are developed into a Corrective Action Plan, (CAP).
    • Update and maintain Insurance risk survey feedback and findings monthly between NCP and NCP’s underwriters and submit them to the GRC Director for final review and communication back to the Insurers
    • Attend risk related meetings (e.g., MOC Meeting, Serious RCIs, Insurance) and identify any possible gaps not covered on current risk registers and update risk registers with ratings accordingly
    • Monitor external environmental for risk trends and themes that could potentially impact or affect NCP and consider during the risk management workshop and highlight these in monthly reports.
    • Act as main point of contact for ERM and ORM throughout NCP and its sites.
  4. Business Continuity Management (BCM).
    • Develop and Maintain the Business Continuity Management Plan (BCMP):
    • Ensure the BCMP is current, comprehensive, and reflects changes in business operations, processes, and organizational structure.
    • Conduct Business Impact Analyses (BIAs):
    • Identify critical business functions, assess the impact of disruptions, and determine recovery priorities and timeframes.
    • Facilitate Risk Assessments Related to Continuity:
    • Evaluate potential threats and vulnerabilities that could disrupt operations and integrate findings into the BCMP.
    • Coordinate and Facilitate BCM Reviews and Workshops:
    • Engage departments and heads of departments across all sites in reviewing and validating continuity plans, ensuring alignment with business needs and mitigating downtime risks  (e.g., plant redundancy, alternative suppliers, IT failovers, remote work locations).
    • Document and Update Recovery Strategies:
    • Work with departmental managers to ensure recovery plans include redundancy protocols, alternative suppliers, IT failovers, and remote work capabilities etc.
    • Test and Exercise the BCMP:
    • Plan and conduct tabletop exercises, simulations, and drills to validate the effectiveness of continuity and recovery strategies.
    • Monitor and Align BCM with Risk Management Frameworks:
    • Ensure BCM risks are reflected in the enterprise and operational risk registers and are actively monitored and mitigated.
    • Ensure Regulatory Compliance:
    • Verify that the BCMP complies with applicable legislation, standards (e.g., ISO 22301), and industry best practices.
    • Promote BCM Awareness:
    • Develop and deliver training and awareness sessions to staff across all departments and sites.
    • Continuously Improve BCM Processes:
    • Identify opportunities to streamline and enhance BCM processes, tools, and reporting mechanisms.
    • Support, arrange and coordinate actions in a crisis event supporting the GRC Director.
  5. Budget.
    • Compile cost forecast for budget inputs related to Risk, Compliance, Business Continuity, and Insurance activities.
    • Submit the budget inputs to the Business Enablement Manager and GRC Director for review and inclusion in the overall departmental budget.

Experience

  • Minimum 4 years Risk Management.
  • Minimum 4 years Compliance experience.
  • Minimum 4 years Business Continuity Management Experience.
  • Minimum 4 years Manufacturing Environment experience.
  • Minimum 2 years Safety, Health, Environmental and Quality Experience (advantageous).
  • Minium 1 year in Environmental Legislation (advantageous).

Qualifications:

  • Matric with Mathematics.
  • National Diploma: Risk Management / Compliance.
  • International Certificate: Risk Management (IRM UK) (advantageous).

Technical Certifications:

  • Legal liability & Compliance – Occupational Health and Safety
  • GHS / Dangerous goods
  • Member of Institute Risk Management South Africa (IRMSA) (advantageous)

Reporting structure:

This position reports to the GRC Director.         

Personal Circumstances:
