Purpose of the job

The Receptionist reports to the Finance & Admin Officer and has the primary responsibility of assisting with the running of the reception area by managing the switchboard, assisting visitors and taking accurate messages and distributing them accordingly.

The responsibilities above mentioned shall be conducted in compliance with the Occupational Health and Safety Act No.85 of 1993.

This position profile acts as a guide to the role only, and additional work outcomes may be required to be performed by the incumbent.

Key Performance Area

  1. Visitor reception process.
    • Ensures the switchboard remains operational at all times and is transferred to protective services after hours.
    • Logs call for all telephone maintenance as and when required.
    • Monitor, screen, respond to and distribute incoming communications promptly.
    • Updates the company telephone lists on a monthly basis.
  2. Reception area maintenance.
    • Keep reception area tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
    • Ensures that records/ information kept at reception are relevant and updated.
    •  Attends to all visitors timeously and directs visitors to appropriate area / meeting rooms etc and informs staff of visitors. 
    • Attend to any phone call in a professional manner.
    • Control access to NCP facilities.
    • Train and develop temps / learners on reception task and activities.
  3. General Administrative tasks.
    • Update visitors register regularly.
    • Check and update boardroom booking system regularly and notifies meeting organizers of any changes.
    • Manage and update staff diaries with booking information so they can prepare for meetings ahead of time if necessary.
    • Coordinate with cleaning staff to ensure boardrooms are orderly and have refreshments in time for meetings.
    • Monitor the use of office supply and orders supplies when necessary.
    • Order staff refreshments, when necessary.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, SAP)

Experience

  • Minimum 1 year experience as a receptionist.

Qualifications:

  • Matric
  • Certification in Office Management (Advantage)

Reporting structure:

This position reports to the Finance & Admin Officer.

Personal Circumstances:

  • Must be able to obtain a satisfactory medical report from the companies’ medical centre.
